Terms of Service

These Terms of Service (“Terms”) are a contract between you and Veridian Vantage Solutions LLC(“Veridian Vantage,” “we,” “us”). They cover your use of our website (Veridian Vantage), our AI floor visualizer, our quote and booking system, and any flooring services we install at your property. By using the site or requesting a quote you agree to these Terms.

1. Who we are

Veridian Vantage Solutions LLC is a residential and commercial epoxy flooring contractor based in Winter Garden, FL. We’re a registered Florida limited liability company and carry an active commercial general liability insurance policy for our work in Central Florida — see section 13 for details.

2. The AI floor visualizer

The visualizer lets you upload a photo of the space you want refinished and see an AI-generated preview of how an epoxy floor in the color you selected might look.

2.1 Photo upload — what’s OK and what isn’t

You may upload photos that:

• Show the space you want refinished (garage, basement, kitchen, commercial floor, etc.).
• You own, took yourself, or otherwise have the right to share.

You may NOT upload photos that:

• Contain identifiable images of other people. If a person is visible — including a child — please retake the photo or crop them out before uploading.
• Contain copyrighted material you don’t have rights to (interior design portfolios, manufacturer renders, photos taken by someone else).
• Show illegal activity, violence, nudity, or any content that wouldn’t belong on a contractor’s website.

We may delete any uploaded content that violates these rules without notice. If you upload content that infringes someone’s rights, you’re responsible — not us.

2.2 Consent to AI processing of your photo

When you upload a photo, you authorize us to send the image to our AI processing partner (currently Google’s Gemini API) so we can analyze the surface and render a preview. The image is also stored on our servers (Vercel Blob storage) for the duration described in our Privacy Policy. We don’t sell your photo, use it to train any model, or share it with other customers.

2.3 The AI preview is illustrative only

The image we generate is a visualizationbased on the AI’s interpretation of your photo plus the color you selected. It is not a photograph of finished work. The real install will look different in details like reflectivity, flake distribution, edge transitions, and color under your specific lighting. We choose AI samples and color references that closely match real-world results, but we make no guarantee that the install will look identical to the preview.

3. Quotes are estimates

The price shown after the visualizer (and any price we provide by email, phone, or in writing) is an estimate based on the information you provided and standard pricing for the floor type, square footage, and project category. The final price may change if our on-site visit reveals conditions different from what was assumed at quote time — for example:

• The substrate (concrete, tile, vinyl, etc.) requires more preparation than visible in the photo.
• The actual square footage differs from what was reported.
• Structural cracks, moisture, or coatings need remediation.
• Site access requires special equipment or extra labor (stairs, tight entry, security clearance, etc.).

We will discuss any price adjustments with you and get your written approval before doing additional work that materially changes the quote.

4. Booking, deposits, and payment

Until further notice, all bookings begin with a free consultation call or on-site visit. We do not collect online payments through the website at this time. When the booking flow with online deposits is re-enabled, additional terms (specific deposit amount, cancellation windows, Stripe/Klarna terms) will be presented at checkout and will form part of these Terms by reference.

When you do book a service with us, payment terms, installments, and any financing arrangement (Klarna or similar) will be agreed in writing before any work begins.

5. Cancellation and reschedule

For installs that are scheduled but haven’t yet started:

• More than 7 days before the install date: cancel or reschedule at no charge.
• 3–7 days before: we charge 25% of the project total to cover crew scheduling and material commitments.
• Less than 72 hours before: 50% of the project total.
• Day-of, after materials arrive on site: the full project total may apply, less any salvageable materials.

We’re reasonable about weather, family emergencies, and unexpected health issues — call us. If we have to cancel or reschedule (weather, equipment, etc.) we’ll work with you to find a new date at no penalty.

6. Warranty

We warrant our installations against defects in materials and workmanship under normal residential or commercial use:

• Interior floors (garage, basement, kitchen, etc.): 15 years from the install date.
• Exterior floors (patios, driveways, pool decks): 5 years from the install date.

The warranty does not cover:

• Damage from impact, chemicals incompatible with epoxy, abuse, or modifications by third parties.
• Substrate movement (concrete cracking, settling) not caused by our work.
• Cosmetic changes from normal use (minor scuffing, color shift from prolonged direct UV).

Warranty claims: email veridians@veridiansflooring.comwith photos. We’ll inspect and, if covered, repair at no charge.

7. Communications

When you give us your phone number we may contact you about your quote, install, or warranty by call or SMS. We do not send marketing SMS without separate opt-in. See our Privacy Policy for details and opt-out instructions.

8. Intellectual property

The Veridian Vantage name, logo, site design, written content, and AI render samples are owned by us. You may not copy or reuse them other than to share a quote we sent you with the people directly involved in your decision (e.g., a spouse or landlord).

Your uploaded photo remains yours. By uploading you give us a non-exclusive license to use it to render the AI preview, store it for the duration described in the Privacy Policy, and include it in your customer file. We do not use customer photos in advertising or as before-and-after promotional material without your explicit written permission.

9. Limitation of liability

To the maximum extent permitted by Florida law, our total liability for any claim arising out of or related to the site, the AI visualizer, or services we provide is limited to the amount you paid us in the 12 months before the claim arose. We’re not liable for indirect, consequential, incidental, or punitive damages.

Nothing in this section limits any liability that can’t be excluded under Florida law (for example, liability for personal injury caused by gross negligence).

10. Disclaimer

The website, the AI visualizer, and the quote estimate are provided “as is.” We make no warranties beyond those stated in section 6 (Warranty). We don’t guarantee the website will be uninterrupted or error-free, that AI previews will match real installs exactly, or that quoted prices won’t change after on-site verification (see section 3).

11. Governing law and venue

These Terms are governed by the laws of the State of Florida, without regard to its conflict-of-laws rules. Any lawsuit arising from these Terms or services we provide must be filed in the state or federal courts located in Orange County, Florida, and you consent to that jurisdiction.

12. Disputes — try us first

If something goes wrong, please call us at (407) 502-9439 or email veridians@veridiansflooring.com before filing any lawsuit. We’re a small company and we answer the phone. Most issues we can resolve directly in a single call.

13. Insurance and coverage

Veridian Vantage Solutions LLC maintains an active Commercial General Liability policy underwritten by Berkshire Hathaway Direct Insurance Company (A.M. Best Financial Strength Rating: A++), placed through biBERK. The policy includes:

• $1,000,000 Each Occurrence limit
• $2,000,000 General Aggregate (annual)
• $2,000,000 Products / Completed Operations Aggregate
• $50,000 Damage to Premises Rented to You
• $5,000 Medical Expense (any one person)

A current Certificate of Insurance (ACORD 25) is available on request. If your job site, HOA, property manager, building owner, or lender requires us to list them as an additional insured or certificate holder, email veridians@veridiansflooring.com with the exact name and address — we issue customized certificates at no charge, typically within one business day.

We are not currently a licensed Florida state contractor. Per Florida Statute Chapter 489, non-structural floor coating (epoxy, polyaspartic, polyurethane) installed on existing substrate is not classified as “construction” requiring a state contractor license. We comply with applicable local Business Tax Receipt requirements in Orange County, Florida.

14. Changes to these Terms

We may update these Terms when our service or the law changes. The effective date at the top reflects the most recent update. For material changes that affect customers with an active quote or booking we’ll email you a notice.
